About This Role:

The purpose of this position is to provide leadership and guidance to support staff within the Associate Dean for Research (ADR) unit. This individual will be an integral part of the American Veterinary Medical Association Council on Education Accreditation, the College's Intramural Research Grant Program, as well as the annual Veterinary Research Scholars Program (VRSP).

Responsibilities include:

Project Management and Leadership: Provide leadership and guidance to support staff within the Associate Dean for Research (ADR) unit. Assist in assessing and prioritizing administrative tasks, including office inventory maintenance, calendar coordination, and workload adjustments as needed. Work with grant specialists to organize programs, meetings or conferences related to grant funding and/or research by arranging locations, issuing information or invitations, and coordinating speakers.

Collect, manage, organize and retain data to calculate key research metrics for the 7-year American Veterinary Medical Association Council on Education Accreditation self-study document including, but not limited to, annual research expenditures, publications, students engaged in concurrent DVM-Ph.D. degrees, student participation in conferences and meetings, student research awards, faculty research awards and faculty participation in research activities. This will require access to confidential files and annual evaluation documentation that will require a high degree of confidentiality, organizational skills and data management expertise.

Provide support and administration of key projects, reports, and recordkeeping, helping to ensure the professionalism and integrity of the College of Veterinary Medicine, the Dean's Office and the ADR Unit. Coordinate work with other colleges. Effectively communicates with executives and management within the University and State agencies.

Facilitate and coordinate the overall annual process for the College's Intramural Research Grant Program. This involves choosing, coordinating, and managing a faculty committee that represents each department in receiving, reviewing, and awarding $150-200K in funds to support research across the college.

Facilitate and coordinate the annual Veterinary Research Scholars Program (VRSP). This includes assisting with the selection of approximately 30 trainees, facilitation of summer workshops as well as travel and lodging arrangements to the national symposium, and management of day-to-day operations.

Assist the ADR in developing an operations management plan for the new CORE Research Facility that is scheduled to be up and running in FY25. This will involve establishing a fee schedule; ensuring appropriate center managers are in place and up to speed on operations plan; coordinate ongoing requests and/or questions for the ADR after operations are up and going.

Assist the ADR in developing and managing a college-wide lab safety support team. This will involve recruiting and hiring staff support; coordinating the needs of each department into the overall plan; and facilitating the activities of the support team.

Provide general office administration to the Associate Dean for Research (ADR), including appointment and conference scheduling, travel arrangements, and expense reporting and reconciliation. Maintain and utilize confidential digital and hard copy filing system and records to assure availability and effective authorized access to information. Type correspondence for the ADR to include word processing/typing of letters, memos, forms, policies and procedures, includes handling of confidential information. Prepares agendas, notices and minutes for meetings. Distributes various narrative and statistical reports on a monthly, quarterly, and annual basis.

Assist the ADR in the management of schedule, using Microsoft Outlook, schedule appointments, make travel arrangements, screen incoming calls and correspondence for the ADR from both internal and external sources and responds independently, when possible.

What You'll Need to Succeed:

Minimum Qualifications:

  • Bachelor's degree in business or related field
    • This position may use an educational equivalency as determined relevant by a hiring manager.
  • One year relevant experience

Preferred Qualifications:

  • Master's Degree in business or organizational leadership
  • Experience managing schedules for high level administrators and active office operations that include multiple reporting units
  • Advanced knowledge of Microsoft office suite of applications, specifically Outlook and Excel
  • Excellent communication skill set and customer service attitude
