Front Desk Manager / Senior Administrator - Aon Insurance Managers (Burlington, Vermont)

As part of an industry-leading team, we are looking to add a Front Desk Manager / Administrator to join our expanding Burlington VT Captives Accounting Team. You will help empower results for our clients by delivering innovative and effective solutions.

What the day will look like

  • Providing an elevated level of customer service and assistance to clients, and fellow co-workers both inside and outside of immediate team.
  • Communicate in person and through correspondence with high level contacts inside and outside the company such as vendors, customers, and senior leadership.
  • Schedule meetings and appointments for staff, including coordinating and confirming attendance, arrangement of meeting location, equipment, and supplies, updating Welcome Board and greeting guest.
  • Prepare board meeting documentation including electronic and bound paper copies.
  • Locate and attach applicable file information or previous correspondence to facilitate prompt resolution.
  • Using knowledge of the department's procedures, prepare routine correspondence, documentation, forms, notices, or statistical reports.
  • Maintains database information, such as mailing lists, vendors, etc. in applicable format.
  • Oversee outgoing delivery services (US Mail, FedEx, UPS, etc.).
  • Oversee incoming checks/deposits and log outgoing client checks.
  • Maintain cleanliness of board rooms in advance of and in between meetings Serve as main point of contact for property owner and Aon internal real estate contacts.
  • Maintain electronic manuals, policy, and procedure files, etc.
  • Assists in research, testing, and/or implementation of revised policies and procedures.
  • Coordinate transmission of information with other users/suppliers. Scan or make copies of correspondence and other printed matter. May reconcile/coordinate reports with other departments as needed.

Skills and experience that will lead to success

  • Prior experience as a Corporate Receptionist / Front office or Senior Administrator - Essential
  • Intermediate to Advanced PC skills (Microsoft Office: Word, Excel, PowerPoint, Outlook, as well as Adobe)
  • Ability to learn new and navigate new software applications efficiently
  • Proven track record within customer / client facing roles - essential

The salary range for this position (intended for U.S. applicants) is $32,00- $50,000 annually. The actual salary will vary based on applicant's education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant's geographic location. The salary range reflected is based on a primary work location of Burlington, VT. The actual salary may vary for applicants in a different geographic location.
